Google Apps For Education Frequently Asked Questions
Q. Why are we becoming a Google school district?
A. There are many advantages. Most important is the support Google gives to classroom teachers through Google Apps for Education. We also get:
Q. How do I login to my Google Mail?
A. As soon as everyone is migrated to Google you will access it from the email link on our web page that you have always used.
On your first visit your login will be firstname.lastname@example.org and your password will be PW123456. Note that the PW is capitalized. You will immediately be required to change your password.
Let me say that yes, we are very aware that we just got everyone accustomed to logging into their email using the “G” number, and now we are changing it back to email@example.com! Google could not accept the “G” numbers so we had little recourse. You will still login to your computer with the “G” number.
Q. Ok, I’m in my email, where is my calendar and contacts?
A. On the Google Apps For Education webpage (http://www.gcssk12.net/google), available from the system website, there are links to Google mail, calendar, drive, docs, etc.
But there is a more convenient way once you are logged in to Google mail using Chrome as your browser. In the upper right corner is an icon that looks a bit like tic-tac-toe. Clicking this will reveal all of the other Google apps.
Q. What about all of my old email, will I lose it?
A. No, you shouldn’t lose any old email. We have spent considerable time and effort migrating users rather than simply creating users from scratch. Through the migration process we brought over your existing email, calendar events and contacts. If yours are missing, please contact firstname.lastname@example.org.
Q. Will my students have this email?
A. Yes, we have setup over 9,000 Google accounts which includes all faculty, staff and students. Email will be the mechanism students and teachers use to send documents such as homework back and forth. Google Apps for Education has numerous tools that facilitate a teacher’s management of their classes and the assignments to the students in those classes.
Note that for safety, student’s email can only go to and be received from others within the school system.
Q. What is Google Drive?
A. Google Drive is online, or “cloud” storage space for your documents. The primary advantage of this over the server based storage you have had up to this point is that your files are available on any device that has Internet access, so you can get your files at home. This is something users have been asking for. Additionally, we had to impose limits on your server based storage but every user has unlimited storage space on Google Drive!
Right now documents have to be manually moved into your Google Drive, it isn’t a simple “save as” process like you have with your server documents. But that is something we will be working on to make it as seamless as possible.
Q. What is Google Sites?
A. Google Sites is Google’s method of creating websites, and all Gainesville City Schools users will be able to create as many websites as you wish. You can then make them available only to you, only to specific individuals you assign, only within the school system, or publicly available to anyone in the world. Google has a website builder with templates or you can paste in html code from programs such as DreamWeaver.
Q. What are Google Docs?
A. Google Docs is a word processor, spreadsheet and slide show creator available free to Google users. It is online software, meaning you much have an active Internet connection to use them. Docs can be convenient if you want to work on a document or spreadsheet from a computer that does not have Microsoft Office installed, or from a device like your iPad or smartphone.
Q. Now that we have Google Docs, will we be getting rid of Microsoft Office?
A. No. Docs can be convenient as mentioned above, and be sufficient for many users, but it lacks the horsepower of Microsoft Office Word, Excel and Powerpoint. Many of the more intricate spreadsheet functions, for example, are not available in Docs. But Google is very good at continually improving their products, so one day Docs may be all we need.
Q. Google Mail only lets me delete one page of old emails at a time, and I have thousands! How can I delete all my old email at once?
A. Google mail, and all web based email programs in fact, only allow you to delete one page of emails at a time. That is, unless you know how to apply filters to do it for you. In most cases you will want to delete all email messages before a certain date. To do so:
Open your Web browser, head to Gmail, and sign into your account.
At the top of the page, click the small grey downward triangle just to the left of the blue magnifying glass in the search field. This will introduce several search options.
In the "Has the words" field, type before:2014/01/01. That's just an example date; it would delete all messages received prior to January 1 of 2014. You can use any date you want, as long as it conforms to the format YYYY/MM/DD.
Click Create filter with this search.
Check the box marked Delete it, then check the box for Also apply filter to matching messages.
Finally, click Create Filter.
Note that it can take some time to do this and there is no progress bar or anything to let you know it’s working.
This search in Google mail can be very powerful. Suppose rather than old emails you wanted to delete all emails from a particular sender. In that case you would follow the same procedure but in the search criteria specify that sender under the From: field instead of specifying a date.
And of course the primary function of this email search is to find particular emails, even if you don’t go on to delete them.
Another option that may be useful is on the search page there is a button for All Mail. But you may want to limit your search to just certain folders, like your sent mail or read mail. This will allow you to search is only the specified location.
There is one more powerful function of filters you will want to use. We all get emails from senders we don’t know and don’t want, you can make these automatically go to your junk mail. Follow the above steps but in step 3 put the sender in the From: field then click Create filter with this search then check Apply the label and choose the label Junk Mail.
